Hi DMS,

Sorry for the delay; here are the "minutes" (more notes, really :P) for
2019-12-02 and 2020-01-06. Let me know if there should be any additions or
corrections.

Thanks,
  Braden

# 2019-12-02 DMS General Meeting

Present:
- Bill
- Braden
- Brittney
- Emily
- Jax
- Julie
- Logan
- Rob
- Roland

Board members elected:
- Braden
- Emily
- James
- Jax
- Roland

- Jax as President
- Roland as Treasurer
- Rob as Secretary w/ Braden as backup, depending on non-board member can be an
  officer...

Consensus approves the above.

Cross-group collaboration:

- Rob: talks about El Warcha thing being orgnized by the UCD anthropology students.
- One involved in non-profit for helping Syrian children.
- Grad student + undergrad student friends with them trying to organize to build things.
- Third space board member was also there. Still looking for space.
- Warcha asking city about space. The Bike Museum might be up for grabs eventually when
the Bike Museum exits the space, and the space needs to be used for non-profit
  purposes.
- Jax: Talked about projects they were trying to do. Not so much about a space. e.g.
Garden building at local schools. Non-concrete project to help the homeless in town.
- Rob: Justin's grant is about helping houseless with makery things.
- Jax: Wants to keep in touch with them and believes they will get something together.
- If the Bike Museum space does indeed become available, that would be quite ideal.
- Rob: So let's keep in touch with them, and also invite them to Library events we do as
  we get those going.
- Rob+Jax: El Warcha and co have a mailing list and FB group.
- Jax: Can forward along info he gets from their list.
- Jax: Also talked with another undergrad group who were interested in some kind of
Makery thing. Tried to get that group and the El Warcha / Third Space groups in
  contact.
- Rob: Will keep going to El Warcha meetings ~1/mo to check in; would also like to stay
in contact with the Third Space guy.

Some discussion of the simple M3D 3D Printer being donated by Logan. We would need a
computer to operate it. Logan suggests there are low-cost powerful-enough computers
available via Aggie Surplus. >=Quad-core would be nice, he says.

Discussing next steps for partnership with Library.

We have a MOU in process that we should send to Crista.

There was talk of a getting a grant for some improvements to the "nook" near the Teen
area, and money for a cart.

So, it would be on us if we want a cart now-ish.

Remind ourselves of having open hours with a "buddy system" so that we can have a
backup.

Action items:
- Cart (Emily will ask Crista if one is available, and/or if there is space currently to
  store one.)
- Get an MOU to them this month-ish. (Roland will resend draft to full DMS discuss list)
- Request room again (Braden).

Next meeting would be on January 6th, 2020.

# 2020-01-06 DMS General Meeting

Present:
- Bill H
- Braden P (DMS Board)
- Crista C (Library)
- Emily S (DMS Board)
- James H (DMS Board)
- Jax (DMS Board)
- Julie M
- Logan V
- Mark R (Library)
- Roland S (DMS Board)
- Scott L (Library)

Roland brought copies of the MOU we have and the Liability Waiver form we use.

We used to have liability insurance for, we think, for around $1000/yr, but then we
dropped it in the last year or so.

Library will check on their own liability insurance and if it would cover the addition
of a Makerspace. Including asking the Woodland library about how they deal with their
liability insurance at their Makerspace.

Looked over the MOU with the Library people.

Perhaps want to declare open hours short of closing time to account for

Sunday time would be hard because the library is closed and so there would be no
staffing to be able to get into the interior space.

We could have access to Blanchard room outside of Library hours (e.g. Repair Cafe), but
we've have to get stuff from the Makerspace room first before Library closing; only
county employees can access the main building after hours.

Side note: Library staff had looked for template MOUs but a lot is geared towards hiring
an external agency vs a partnership.

Talk renovating the Teen-room-neighboring space to be for the Makerspace. The small
room could be combined with the study room next to it, and then the whole area could
have a locked door to the main library.

There is a window that could in theory be used for venting, assuming in compliance with
OSHA and what not.

Cost of renovation should be covered by Friends of the Library and/or County money.

That said, would like to have some guarantee we'd stick around to make it worthwhile.

What requirements do we have for the room?

Our requirements are quite flexible; we're used to working with little.

Went to look at the room(s).

Some talk of venting solutions with the existing opening window.

Metal-topped table, perhaps with cabinet storage underneath.

Area for using a projector, and an are to project on.

Shading for interior windows.

We need to come up with requirements for the space, both realistic and dream.

Library would be making a budget request whenever we all can get a list of requirements
together.

Discussion of commitment and equipment ownership; need to keep track of who actually
owns what in case of dissolution.

We could have a few weeks to talk amongst ourselves and perhaps come up with a few
versions of a wish-list (e.g. 3) of varying levels of wishfulness.

Perhaps we'll need another in-person planning meeting before the next general meeting
(on the 3rd), at which point we can talk with the Library people about the wish-list(s).

Emily: Once an MOU is agreed upon, should we start up with open hours and a cart etc
even before the space is available?
- Library: Could be doable, e.g. in the Blanchard room, when it is available. Though,
repair cafes and ordering a cart wouldn't need to wait for an MOU.

Reminder that anyone who does volunteering via the library will need to do LiveScan.

Action Items:
- Wish list / room design (DMS)
- Dimensions for a cart for mobile tooling (DMS)
- Room Measurements (Lib)
- Cabinetry options, from Uline (Lib)
- Internal budgetary and liability conversations (Lib)

Some discussion of what we want, big and small.
- table-top work space
- storage cabinetry
- attachment point on ceiling for projector
- workspace lighting
- whiteboard wall
- concrete floor (was already brought up by Library)
- vented window
- door to outside
- sink / running water
- (small) flammables cabinet
- fire extinguisher(s)
- vending machine
