Hi Rob,

Attached are the minutes from some of our recent library meetings. I only
have the 2, Braden or Britney may have more if you're curious about earlier
meetings. More details and planning can be found on the library page in the
wiki <https://wiki.davismakerspace.org/library-possibilities#plans>, I also
linked the related google docs there.

2019-11-04
5 of 7 board members present
Attendees: Julie, Emily, James, Braden, Logan, Bill, Jax, Roland

Random Notes
- Bill's friend Stu is interested in the plotter, he worked on the original software
- Maybe we can setup esignatures for quorum via email? Or just allow quorum via email? (Sounds like maybe we already allow that?)

November Repair Cafe
@Todo Emily will reply to Krista/Kristen about repair cafe and reschedule to December.
- Repair cafe doodle poll schedule?

Library Space
Q: Which Library space is preferred? Teen Nook or Toddler Room?
A: We seem to be leaning toward Teen Nook, no official vote taken since we don't have quorum.
@Todo: Roland will email all boardmembers to see which space is preferred.

Library Tools
Q: What is the monetary value of all tools? How to assess? Fair market value?
A: Maybe we should keep estimates low to reduce liability costs?
Q: Which tools should we provide?
A: Hand tools, quiet tools, 3d printers. Maybe a bucket of kids' stuff -- e.g. legos or other easy constructable type things for kids to build (LEDs?)
@Todo: Board will make a list of what would fit in a storage cart and would be worth bringing to the new space
- we can use the "Library" column on the equipment spreadsheet: https://docs.google.com/spreadsheets/d/12qmYSOcT--X9QNU3r9kGbZ9ZaOFyvZzEcaRlOm1KnEQ/edit#gid=0
- There is also the M.O.U. draft which has a list of planned tools: https://docs.google.com/document/d/1B9mPoKHjdt2-rE78QqthzmTfyzRE3W5Zc4ySMVCI0EY/edit
- Woodworking tools are out due to noise and mess, but we can have periodic woodworking events at the park by the library

Library Volunteer Schedule
@Todo: Roland will send out a Doodle poll to DMS Discuss for availability of library volunteer hours -- Factor in backup hours? Rotate backup person each week?
Q: Should we require advance notice if you plan on missing a day?
A: No, just have a backup person for every shift.
- Maybe we should have some type of postable feed for the schedule, like a monitor at the new space to display the up-to-date schedule?
- Or we can just print out the schedule and post it for now
@Todo: We should compile a list of people's expertise for each open hour session (wiki has some)
@Todo: Provide basic training to all volunteers on the 3d printers so they at least know how to use the 3d printers (though they can be very finnicky)
- Logan may donate his consumer grade 3d printer to DMS? Could be used for training. (easy to use)

Future of Library Project
Q: Vote on whether we should move forward with the library?
A: No vote taken since we don't have quorum, but everyone present is in favor.
- Over the course of the past two meetings, all board members seem to have been in favor and no objections have been made thus far.
- It's assumed that we'll be moving forward with the Library project
@Todo: Roland will send an email to the board asking if anyone has any concerns or objections to moving forward with the Library project
@Todo (?): Notify the Library that we will be moving forward with the project, but still need to put together their action items and the M.O.U.
- Timeline for Library final decision and necessary info? "Soon"

Q: How should we discuss the Library project with the public?
A: For now stick to non-commital language like "we are in fruitful talks with the Library" or "we are moving forward on a trial basis at the Library".

## Discussions

Donations:
 - Can we hand out a card with a QR code on it vs QR code at the space? They will find out.

Can we use the Blanchard room events for fundraising?
 - We can provide contact information and sell things / get donations online (maybe point people to our online "store"?)
 - Maybe a Makerspace-specific fundraising through the Friends of the Library?

Inventopia may be able to supply equipment -- ventilation system

Aggie Surplus storage cabinets

Renovations
 - Wall space more valuable than garage door
 - Exterior door preferred (concrete pad outside)
 - double door not really needed (stuff
 - can we use the outdoor concrete pad as a "patio"?
   - store woodworking tools outside? tablesaws? A: We can't expand and risky to keep equipment outside
   - maybe we can build a non-permanent shed out there
 - do we need the existing counters to stay?
   - not really, most mobile storage units don't seem to fit under it, and mobile modular counters are superior in every way
- Electronic sign thing for the whole library could include the makerspace hours (popup hours)?
- Outside door with fan?
